To offer transparency and better coordination for parents and the community, the District has established the following guidelines to minimize duplication and overlap and to create a centralized procedure for fundraising activities.
All fund-raising activities and planning for fund-raising shall be done after school hours unless prior permission is received from the building principal.
Any fund-raising activity which involves students or employees shall require the approval of the building principal and Superintendent. Involvement is defined as: any activity which advertises the school, students or school organization.
School activity funds are used to finance a program of student activities which supplement but do not take the place of the instructional programs provided by the Board of Education. Whether funds are collected from student contributions, club dues, special activities, or result from admissions to events or from other fund-raising activities, all funds will be under the jurisdiction of the Superintendent and building principal. The funds will be expended to benefit students currently enrolled in school. The management of the funds will be in accordance with good business practices, including sound budgetary and accounting procedures, and will be audited in the same manner as District funds.
District-Sponsored Fundraising
The Superintendent and Building Principal are responsible for overseeing all District-sponsored fundraising activities conducted within or on behalf of the District. "Fundraising activities" are events or activities conducted to generate money to support programs, activities, or other needs (e. g. , selling items, hosting events). "District-sponsored" means the fundraising is administered and carried out by District staff or students involved in a school activity or program. Such activities must be approved in sequence by the Building Principal, the Superintendent, and the Board of Education.
External Group Fundraising
Fundraising conducted by External Groups is neither District-sponsored nor sponsored by a Student-Initiated Group, but an external group such as a booster club, PTO, or other group whose purpose is to support district students and staff. District personnel and students may not be utilized during the school day or during class time by external groups to raise funds that are not directly deposited with, administered and controlled by the district for district sponsored activities. District administration and personnel are encouraged to work in conjunction with these groups in fundraising activities as long as activities are aligned to district interests, policies, and procedures. External groups are strongly encouraged to communicate with the district on fundraising activities in the same timeline as district-sponsored activities are required to do.
Non-school affiliated groups may request the use of district facilities for the purpose of fundraising activities. Facility use request must be approved by the superintendent and comply with all facility use policies and applications.
Groups or organizations not affiliated with the school are prohibited from having fundraising activities at school-sponsored activities or events. (This does not include groups such as PTO, booster club, etc.)
Guidelines
Request deadline: All Fundraising Activity Request forms for fundraising must be submitted to the building principal by the following dates:
Number of approved activities: All organizations and groups will be limited to (1) one fundraising activity that includes selling items or services to community members, parents, neighbors, and (1) one fundraising activity that is intended only for students and staff. Junior and Senior Class fundraising may exceed the limit with administration approval. Class fundraisers should follow request deadlines and approval. Concession stand fundraising is not included under number of approved activities.
Overlap: Multiple fundraising activities that involve selling items to community members, parents, etc cannot occur at the same time. Fundraising activities that duplicate, or are determined to be similar in nature to previous fundraising activities, will not be approved.
